Exchange groupware services (email, calendaring, contacts, task lists, etc) for faculty and staff were upgraded and moved to new servers August 1-5, 2005. Student accounts will begin moving Sunday, August 7. Mailbox moves will occur during evening hours and overnight to minimize service disruption.

Why is this important?

This upgrade provides:

  • A new look and additional features for Outlook Web Access (OWA).
  • The ability to expand mailbox sizes in fiscal year 2006.
  • Improved performance including, greater service reliability, and minimized downtime for routine upgrades and patches.
  • Campus-wide availability of the Outlook 2003 client for Windows in the fall of 2005.
  • Campus-wide availability of the Entourage 2004 client for Macintosh in the fall of 2005.

What changes should I expect?

The immediate impact on Exchange services will be minimal:

  • All accounts will move from existing servers to new.
  • If you attempt to connect to your account while the move is underway, you will notice an outage. If you experience additional problems, see FAQs below.

In addition to the improved interface for Outlook Web Access (OWA), most users can continue using their current email clients, such as Outlook 2003, Outlook 2002, Outlook 2000, Outlook Express, and Entourage 2004. Please be aware that Outlook 2001 and Entourage X for Macintosh are not able to connect to Exchange 2003 due to their reliance on older and less secure forms of user authentication.

General Upgrade

  1. Do I need to install a new email program to use Exchange 2003?
    If you use a supported client, you can continue to use your current email program. Supported clients are Outlook 2003, 2002, 2000 for PC and Entourage 2004 for Macintosh.

    Please be aware that Outlook 2001 and Entourage X for Macintosh are not able to connect to Exchange 2003 due to their reliance on older and less secure forms of user authentication. Although not officially supported, most popular POP and IMAP clients should also work. For most KU staff and students, the version of Outlook they are currently using should work with Exchange 2003. Information Services will have an Outlook 2003 (Windows) & Entourage 2004 (Macintosh) download available for all KU faculty, staff and students sometime in Fall, 2005.
  2. How do I know that my mailbox has moved?
    Shortly before your mailbox is moved to Exchange 2003, you will receive an email message notifying you that you will be in the next group of users to be moved. After the move, you will see the new Outlook Web Access.
  3. Will I be able to increase the storage for my Email account?
    Mailbox size for students has been increased to 100 MB. An additional increase to 500MB for all student accounts is scheduled during Spring Break 2008.
  4. How do I get the new Outlook 2003 or Entourage 2004 software?
    Outlook 2003 and Entourage 2004 will be made available online in the fall of 2005 for download and installation by KU students, faculty and staff.
  5. Please consult your technical support staff before installing any software on a KU machine.

Using Outlook

  1. I am using Windows 98. Can I still use Outlook?
    Currently, Windows 98 is not able to connect to Exchange 2003 due to its reliance on older and less secure forms of user authentication. We are investigating options and hope to find a solution for Windows 98 users that will allow them to use Outlook 2000, 2002, or 2003. In the meantime, Windows 98 users can use Outlook Web Access (OWA) at https://owa.ku.edu, or standard POP or IMAP clients, for example Mozilla Mail, Thunderbird, etc.
  2. I am having trouble opening Outlook. What can I do?
    There are several things you can try. Work through the following steps in order until you either resolve the problem or get to the last step. If you cannot resolve your problem, please contact your departmental technical support person or the IT Customer Service Center at 864-8080. LSS customers should contact LSS at 864-0400 or lsshelp@ku.edu.

    1. Login to Outlook Web Access (OWA) at https://owa.ku.edu
    2. If you see the new OWA look (blue navigation on the left, four-color icon on the top) then your account has been moved. If you can open your email account in OWA, you may just need to try the next couple of steps to make your computer's Outlook software connect to the new Exchange servers. At this point, close Outlook Web Access and the browser.

    3. If your computer is running the Windows 2000 operating system, contact your department technical support staff to see if a change needs to be made to your machine. See below for more information. If you are not using Windows 2000 or are still having trouble, continue with the next step.
    4. If your Outlook software is open, close it and wait five minutes. Then reopen Outlook again. If you can see your mail, calendar, contacts, and tasks and everything looks normal, you can stop. If you are still having trouble, continue with the next step.
    5. Close the Outlook software and other software programs you have open, then restart your computer. Once your computer has rebooted, again try to open Outlook. If you can see your mail, calendar, contacts, and tasks and everything looks normal, you can stop. If you are still having trouble, continue with the next step.
    6. Build a new profile. For help, see our FAQ, "Adding an Outlook Profile". If the new profile works, you can stop. If you are still having trouble, continue with the next step.
    7. If you are using the Outlook 2000 software, consult with your technical support staff about upgrading to Outlook 2002. Download and installation instructions are available at http://www.email.ku.edu/client/. If you are using a version other than Outlook 2000 and are still having trouble, continue with the next step.
    8. If you are still experiencing problems, contact your department's technical support staff, (LSS customers can email lsshelp@ku.edu or call 864-0400 for assistance.) or contact the IT Customer Service Center at 864-8080, itcsc@ku.edu. Let us know you have worked through these steps and require additional assistance.

  3. I can no longer see the public folders, my contacts, or calendar information. What can I do?
    Try repeating the above steps. If the problem persists, please report the problem to the IT Customer Service Center at 864-8080 or email itcsc@ku.edu.
  4. I am getting a "Login Credentials Incorrect" error in Outlook. What do I do?
    There are two local policy settings that need to be changed to resolve the most common problems users with the Windows 2000 operating system may encounter while connecting their Outlook clients to Exchange 2003 servers. Go to instructions and screen shots. Please contact your department technical support staff person before making changes to your computer.
  5. My PDA has not been able to synch properly since I was migrated to Exchange 2003. What can I do?

Using Outlook Web Access(OWA)

  1. Does it matter what browser I use?
    Most current web browsers will work to access your email, calendar, contacts--and now tasks through Outlook Web Access. If you use Internet Explorer for Windows you will have additional features as described below.

    The enhanced version of OWA (available only through Internet Explorer for Windows) provides additional features like Rules, Calendar and task reminders, spell checking, adding signatures on demand. and the ability to drag and drop messages. Here is an example of the new OWA using Internet Explorer for Windows:

    The basic version of OWA (available through any web browser) provides some new features like Tasks and auto signatures (added to every message); Here is an example of the new OWA with any browser other than Internet Explorer:

  2. Has Outlook Web Access changed?
    Yes! The new Outlook Web Access (OWA) looks and behaves more like the Windows Outlook 2003 client. There are additional features available depending on the web browser you are using. More information. The web addresses for OWA has also changed. The new address is owa.ku.edu.
  3. What happened to the old OWA address (www.mail.ku.edu)? Can I still use it?
    The old Outlook Web Access URL has been redirected to the new Outlook Web Access URL (https://owa.ku.edu). Although you can use either address, we recommend that you update the bookmarks in your web browser(s).
  4. In Outlook Web Access, what is the difference between "Public or shared computer" and "Private computer"?
    OWA has improved security for the logon page. Logon credentials are now stored differently. When you click the logoff button in OWA, you are really logged out. This is an added security measure especially useful for those who share a computer or those who access their email from a public computer in a lab or the libraries.

    Your OWA session automatically logs you off after a certain amount of time. When you logon, you specify what kind of computer you are using. If you select "Private Computer", your session will timeout after 24 hours. If you select "Public or shared computer" your session will be closed after 30 minutes. After your session closes, even if you leave your browser open and someone tries to use it, they won't be able to access your account.

Using another email program (Outlook Express, Entourage, etc.)

  1. I am having trouble accessing my email with Outlook Express, Entourage, Eudora, etc. What can I do?
