Public Folders Overview
Public folders can be used to share a wide range of information, such as project and work information, discussions about a general subject, or class assignments. Public folders are stored on the Exchange Server. Public folders have access permissions to determine who can view, create, and modify items in the folders.
- Click Public Folders in the Navigation Pane.
- Beside Public Folders, click the plus sign
to expand the display of the public folders or subfolders. When a folder has been expanded, the [+] becomes a [-].
- To open a public folder, click it. The posted messages contained in that public folder are displayed.
Posting New Messages to a Public Folder
- Open the public folder into which you want to post information. Click
. A New Post form appears.
- The Post To: line displays the name of the public folder in which you are posting the message.
- Type a subject in the Subject: field. The subject text appears as the name of the conversation.
- In the large blank area, type your message.

- When you are done composing your post, click
. The form closes and you are returned to the public folder that your message was posted to with your item posted into the public folder. You may need to update the page to view the posted message.
The posted item appears in the Public Folder in the same way as received mail appears in the Inbox. Anyone who has read access to the public folder can view the posted item by double-clicking the header to see the item.
Posting a Reply in a Public Folder
After reading a posted message, you can reply to that message in the same public folder. When you post a reply, everyone who opens the folder will be able to read it.
- Open the message you want to reply to.
- Click Reply. A new posting form appears, preaddressed to the folder and contains the text of the original message.
- Type your response within or above the body of the sender's original message.
- Click Post.
Checking for New Posted Messages
Posted messages should arrive in the public folder automatically. If they don't, click Check for New Messages
. New unread messages appear with bold titles. Once you read a message, it changes to plain text.
