Configuring Outlook to Connect via IMAP to Exchange

You can use these instructions to create a secure connection to the University of Kansas Exchange servers using Outlook 2002 or 2003. This document is divided into two sections: one contains instructions for configuring a new account and the other for reconfiguring an existing account.

These instructions assume that the user has already downloaded Outlook 2002 or 2003 from http://www.email.ku.edu/client/ and installed the program. If you want to configure the customized version of Outlook 2003 that is available for KU faculty, staff, and students at http://www.email.ku.edu/client/, follow the instructions under Editing an existing account. These instructions are written for Outlook 2003, but could easily be adapted for Outlook 2002.

Norton Antivirus software users: You will have to disable email scanning before you will be able to send email from your account. Go to http://symantec.atgnow.com/consumer/results.do to search for the article explaining how to disable mail scanning in Norton Internet Security 2005. Search for 2003020715374936 ( the article number) and follow the steps outlined in the article before continuing.

New Account

  1. Right-click on the Outlook icon on the desktop and choose Properties OR open the Mail Control Panel (Click on the Start button in the lower left corner of your Desktop, then either Control Panel or Settings > Control Panel, depending on the version of Windows you're using. Double-click on Mail from the resulting list of Control Panels). From the resulting window, click E-mail Accounts.



  2. Make sure that Add a new e-mail account is selected, then click Next to continue.


  3. Click IMAP, then Next to continue.


  4. In the E-mail Accounts window, type the following Internet E-mail Settings:

    • Your Name: = Type your first and last name here
    • E-Mail Address: = Type your email address here (youremailusername@ku.edu)
    • User Name: = Type your email username here, without @ku.edu
    • Password: = Type your password here
    • Remember password: = Check this only if you do not share a computer with other users
    • Log on using Secure Password Authentication (SPA) = Leave unchecked, as shown.
    • Incoming Server (IMAP): = imap.ku.edu
    • Outgoing Server (SMTP): = authsmtp.ku.edu

    When you're done, click the More Settings button to continue.


  5. On the General tab: The default name in Outlook for this account will be imap.ku.edu. If you want to change this, replace imap.ku.edu with the name of your choice. Next, click on the Outgoing Server tab.


  6. On the Outgoing Server tab, select the following:

    • My outgoing server (SMTP) requires authentication = Click the box to select this.
    • Use same settings as my incoming mail server = Click on the radio button to select this.

    The Connection tab will be left unchanged; click instead on the Advanced tab to continue.


  7. On the Advanced tab, select the following:

    • Under Incoming server (IMAP), click on This server requires an encrypted connection (SSL).
    • Under Outgoing server (SMTP), click on This server requires an encrypted connection (SSL). Note: If you are an AT&T/SBC DSL customer, you will need to change the number next to Outgoing server (SMTP): from 25 to 587. Otherwise, leave it at 25.

    Click OK to save the changes you made and return to the E-mail Accounts screen.


  8. At the E-mail Accounts screen, click Next, then Finish at the resulting screen. You will be returned to the screen below. Click on E-mail Accounts to set up access to KU's Address Book that lists most of the email accounts on campus.


  9. Next, choose Add a new directory or address book, then click Next to continue.


  10. Select Internet Directory Service (LDAP) and click Next to continue.


  11. At the next screen, type directory.ku.edu as the Server Name, then click on More Settings.


  12. From the resulting screen, click on the Search tab. Enter the Search Base of ou=people,dc=ku,dc=edu and click OK to continue. You will return to the Directory Service (LDAP) Settings screen shown above. Click Next to continue.


  13. You're finished setting up the KU Address Book. Click Finish to exit.


  14. Click Close to exit Outlook account configuration.


  15. To finish setting up your account, start Outlook from the Start menu or from the Quick Launch toolbar at the bottom left of the Desktop. Enter your password if prompted and click OK to continue.


  16. The last step of setting up IMAP access via Outlook is to make sure you can see all the folders in your account. On the left side of the screen, there are two sets of folders. One is labeled Personal Folders and contains information stored on your hard drive. The other is labeled imap.ku.edu or whatever you named the account in step 5 of this document. This is your Exchange account.

    Right-click on imap.ku.edu and select IMAP folders from the resulting menu.


  17. On the resulting screen, leave the Display folders whose names contain: field blank and click Query.


  18. All of the folders in the account will appear on the All tab. If you scroll down the list, you will notice that some of the folder names have a folder symbol next to them. These are the folders that will appear in Outlook when you're looking at the account. To display other folders, click on the folder to select it and click Subscribe. Do not click on Calendar or Contacts. When you're done, click OK to finish.

Editing an existing account

  1. Right-click on the Outlook icon on the desktop and choose Properties OR open the Mail Control Panel (Click on the Start button in the lower left corner of your Desktop, then either Control Panel or Settings > Control Panel, depending on the version of Windows you're using. Double-click on Mail from the resulting list of Control Panels). From the resulting window, click E-mail Accounts.


  2. Make sure that View or change existing e-mail accounts is selected, then click Next to continue.


  3. Click on the account to select it, then click Change.

    If you installed the customized version of Outlook 2003, you will need to delete the Microsoft Exchange Server account from the list before continuing. Click on Microsoft Exchange Server to select it, then click Remove. Click Yes to confirm that you want to remove the account.

    Once you've removed the Microsoft Exchange Server account, click on the remaining account to select it and click Change to continue.


  4. At the resulting screen, verify the following Internet E-mail Settings:

    • Your Name: = Type your first and last name here

    • E-Mail Address: = Type your email address here (youremailusername@ku.edu)

    • User Name: = Type your email username here, without @ku.edu

    • Password: = Type your password here

    • Remember password: = Check this only if you do not share a computer with other users

    • Log on using Secure Password Authentication (SPA): = Leave unchecked, as shown.

    • Incoming Server (IMAP): = imap.ku.edu

    • Outgoing Server (SMTP): = authsmtp.ku.edu

    When you're done, click the More Settings button to continue.


  5. On the General tab: The default name in Outlook for this account will be imap.ku.edu. If you want to change this, replace imap.ku.edu with the name of your choice. Next, click on the Outgoing Server tab.


  6. On the Outgoing Server tab, select the following:

    If you don't already have access to the KU Address Book, proceed to #9.


  9. Click on E-mail Accounts to set up access to KU Address Book that lists most of the email accounts on campus.


  10. Next, choose Add a new directory or address book, then click Next to continue.


  11. Select Internet Directory Service (LDAP) and click Next to continue.


  12. At the next screen, type directory.ku.edu as the Server Name, then click on More Settings.


  13. From the resulting screen, click on the Search tab. Enter the Search Base of ou=people,dc=ku,dc=edu and click OK to continue. You will return to the Directory Service (LDAP) Settings screen shown above. Click Next to continue.


  14. You're finished setting up the KU Address Book. Click Finish to exit.
