What is an Exchange departmental account?

Two types of Exchange accounts are available: personal accounts and departmental accounts. Personal accounts can be created online and belong to the individual. Departmental accounts are associated with a task or function, and are owned by the department or organization. Examples of departmental accounts include purchasing@ku.edu, webadmin@ku.edu, and itcsc@ku.edu.

Why would I want one?

Do you get a lot of email related to a task you do, like student applications, equipment or room requests, or questions and inquiries from your web site? Does that email go unanswered when you are away from the office? Here are some reasons you might want to consider getting a departmental account:

  • You can use the departmental account email address on brochures, web pages, letterhead, etc. If staff changes, you won't have to reprint this material.
  • People who want to contact your office don't need to know the name of the person doing a particular task in order to send email to your office.
  • Messages in the departmental account are available year after year, thus easing transition issues as staff changes occur.
  • Messages can be answered in a more timely manner. When you are unavailable you can easily grant someone else the ability to respond to email sent to that account, without giving them access to your personal email.
  • Email sent to the departmental account will not count against your personal mailbox limits. The departmental account mailbox has its own 100MB storage limit.

How do I get a departmental account?

Go to the Exchange documents page, download the form you want, complete it and return it to Systems Access at the Computer Center. If you have questions about the form call Systems Access at 864-0439. You will be notified by email when the account has been created.

Now that I have a departmental account how do I use it?

The departmental account owner (the person who requested the account) needs to assign permission to any delegates (anyone else who should have access to that account). Once this permission is granted the delegates can view the departmental account in their Outlook Folder List. Using Outlook, both their own personal mailbox and the departmental mailbox are available at the same time.
