Outlook and Entourage Holidays
Outlook and Entourage have a built-in feature to add holidays from different countries and religions to your default Calendar folder. However, Outlook 2000 only displays holidays through 2002 by default. If you are using Outlook 2000 you should follow the instructions below to add holidays from 2007 through 2012.
If you are using Outlook 2002/2003 you should already see holidays through 2005 (the default), or 2007, depending on whether the holidays were added previously. Follow the instructions below to add holidays from 2007 through 2012. There may be some duplication of holidays in 2007, if they were previously added to your calendar. If duplication occurs, you can safely delete the duplicates from your Calendar.
Entourage 2004 does not display holidays by default. If you have added holidays manually, there may be some duplication after you add holidays from 2007 through 2012.
Outlook 2000, 2002, 2003 or Entourage 2004 users can also use the following instructions to add KU Academic events to their calendar. (If you don't know what version of Outlook you are using, go to the Help menu and select About Microsoft Outlook. That dialog box should tell you which version you are using.) The KU Academic calendar runs from the Spring semester, 2007 through the Summer semester, 2010.
Outlook Web Access users:
Outlook Web Access has no function that allows you to add the holidays to the calendar. However, if you follow this procedure while accessing your account from Outlook 2000/2002/2003 or Entourage 2004, you will be able to view these items afterwards on your calendar using Outlook Web Access. You can access your account from a Windows machine that has Outlook installed by creating a new profile.
Windows users:

Outlook 2002/2003
To avoid duplicates, you will need to replace the existing OUTLOOK.HOL file. Follow the instructions below to do this.
- Find the current location of the OUTLOOK.HOL file. Use the steps below, under Searching for the Calendar File to locate the OUTLOOK.HOL file and then return here to step 2.
- Click on this OUTLOOK.HOL link to download the new file and save it to the location that you found in step 1. (If you copied the path from the search instructions below, use CTRL-V to paste it in the location box.)
- Windows will ask you if you want to overwrite the current OUTLOOK.HOL; choose Yes.
- Launch Outlook, if not already open
- Click the Tools menu and select Options; then select Calendar Options.
- On the Calendar Options dialog box click Add Holidays.
- In the Add Holidays to Calendar dialog box, check any of the countries and cultures for which you want to add holidays. The United States box may already be checked. In alphabetical order, there will be an entry titled KU Academic Calendar 2007-2010. Check the box for the academic calendar if desired.
- If you previously added any of the holidays Outlook will ask you if you wish to install them again. Click OK to continue if this is the first time you have installed the 2007-2012 holidays.
If you have already installed the 2007-2012 holidays and are adding a different set of holidays, click CANCEL and return to the Add Holidays dialog box. Uncheck the click box(es) next to the holidays that you have added previously, and then click OK to proceed. This will prevent the holidays you've already added from being duplicated on your calendar.
- Click OK twice to close all the dialog boxes and return to your Outlook calendar.
Outlook 2000
To avoid duplicates, you will need to replace the existing OUTLOOK.TXT file, then update your Calendar. Follow the instructions below to do this.
- Navigate to the folder C:\Program Files\outlook2K\Office\1033\ (or C:\Program Files\Microsoft Office\Office\1033 if you have the full Office suite installed) and verify that the file OUTLOOK.TXT is present in this folder. If it is not, use the steps below, under Searching for the Calendar File to locate the file and then return here to step 2.
- Right-click on this OUTLOOK.TXT link and select Save Target As to download the new file and save it to the location that you found in step 1. (If you copied the path from the search instructions below, use CTRL-V to paste it in the location box.)
- Windows will ask you if you want to overwrite the current OUTLOOK.TXT; choose Yes.
- Launch Outlook if not already open.
- Click Tools menu and select Options; then click Calendar Options.
- On the Calendar Options dialog box click Add Holidays.
- In the Add Holidays to Calendar dialog box, check any of the countries and cultures for which you want to add holidays. The United States box may already be checked. Searching for the Calendar File
- Click on the Start button, and choose Search (for Windows 2000/XP), or Find (Windows 95/98). Windows XP users click on All Files and Folders on the left side.
- In the search window that comes up, type OUTLOOK.TXT (for Outlook 2000) or OUTLOOK.HOL (for Outlook 2002/2003) in the file name box and click OK.
- When the file is found, record the path to it (e.g., C:\Program Files\Microsoft Office\Office\1033\OUTLOOK.TXT). You can copy this path by selecting the text and clicking CTRL-C, or you can write it down and reenter it.
- Return to step 2 for Outlook 2000 or Outlook 2002/2003.
Entourage 2004
To avoid duplicates, you will need to replace the existing Holidays file. Follow the instructions below to do this.
- Save Holidays to the desktop. (In Safari, control- or right-click the Holidays link and click Save Linked File to the Desktop. In Firefox, control- or right-click the Holidays link, click Save Link As, delete any file extension from the name in the Save As field, choose Desktop as the save location, and click Save. Other browsers should work similarly. In any case, save the file as "Holidays" with no extension.)
- Open /Applications/Microsoft Office 2004/Office in the Finder.
- Drag Holidays from the desktop to /Applications/Microsoft Office 2004/Office.
- Finder will ask you if you want to replace the older Holidays; click Replace.
- Launch Entourage, if not already open
- Click the File menu and select Import.
- Click Import holidays, then click the right arrow.
- Check any of the countries and cultures for which you want to add holidays. In alphabetical order, there will be an entry titled KU Academic Calendar 2007-2010. Check the box for the academic calendar if desired.
- Click the right arrow.
- Click OK.
- Click Finish.
